There's a lot of data in the lab that is floating around in various locations either as a whole or in pieces. Some of this data is on external hard drives, or on computers that have been used by various people over the years. This data may either be a copy of data that has already been backed up, data that needs to be added to an existing Archive folder, or that needs to be archived for the first time.

General SOP for processing:

  1. Locate data that needs to be processed (see below).
    1a. Preferentially add any data that needs to be processed to an external hard drive. Do NOT upload it directly to the Fileshare as this ties up our available space on the server.
  2. Compare data against the existing Archive.
    2a. Delete if duplicate data that has already been backed up or if personal items that shouldn't be archived (pictures of people's cat, dog, significant other, vacation, etc.; financial documents; resumes; pdfs of interesting papers; c:\ drive contents/programs; and such).
    2b. Consolidate the remaining data into one folder for the person named "firstname_lastname".
  3. Archive data to the appropriate locations. (**Check with me which locations as this is shifting right now--need to ID final locations)
  4. Clear hard drive and reformat to exFAT if not already this format.
  5. Update the knowledge base Data Storage page as appropriate depending on where you found the data.

Data that needs to be processed:

  • Any data pulled from a computer before it gets updated/set up for someone new to use or discarded due to age. Make sure not to leave a copy of the data on the computer after you back it up as a headache for someone else to deal with down the line.
  • External Hard drives. See the knowledge base for an up-to-date status on each of the hard drives. A partial list of hard drives that need to be processed: Hydrogen, Lithium, Sodium, Aluminum, Mercury, Radon, Selenium, and Hydrogen (some of this has been transferred to another hard drive). Many are on/near my desk and some may need to be found.
  • Some of the data that needs to be dealt with is on the Fileshare in the "MOVE_TO_ARCHIVE" folder.
    ->Add_to_existing_Archive_folder: these data have been previously compared against the Archive and aren't in the appropriate folder. Needs to be added to the appropriate person's folder.
    ->Backed_up_to_Google_Drive: these folders have been backed up to our Marder Lab Google Drive back up of the Archive but haven't been added to the Archive.
    ->sort_this_data: data that needs to be sorted, compared against the Archive, and archived if not already backed up.
    ->To_backup_to_GD: data that has been sorted and hasn't been backed up to the Archive or the Google Drive back up.

Notes:

  • If the data you find belongs to a current lab member add it to their Fileshare folder in a folder indicating where it's from. Let them know about the data you discovered and they can sort through their own data and delete any duplicates.
  • Keep an eye out for data from Track down these missing data files #7. Notify people where appropriate.
  • Sara Haddad’s data is the most organized on Srinivas’s home HD but missing info--once he’s done using the data he'll give us a copy--add any missing data from the folder of Sara's data from Hydrogen to this more organized version and then archive it.
